SMS Consent Procedure
Verbal opt-in standard for service and operational text messages.
1. Purpose
This procedure defines how XCold obtains and records consent before sending informational or service-related SMS messages to a mobile number. It applies to customers, drivers, and other business contacts who receive operational text messages from XCold.
2. Authorized message types
Messages covered by this procedure are limited to shipment and service communications, including dispatch instructions, pickup or delivery status, appointment changes, shipment updates, exception notices, and customer support. This consent does not authorize promotional or marketing messages.
3. Verbal consent
Approved script
“XCold may send text messages to this mobile number about your shipment, dispatch, pickup or delivery status, appointment changes, or service support. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. Consent is optional and is not a condition of purchasing goods or services. Do you agree to receive these messages?”
A clear affirmative response is required before enrollment. Silence, an unanswered question, or an ambiguous response is not consent.
4. Procedure and recordkeeping
- Confirm the mobile number with the recipient.
- Read the approved disclosure before the first non-emergency SMS is sent.
- Obtain an affirmative “yes” or equivalent response.
- Record the recipient name, mobile number, date/time of consent, and the employee or system that obtained it.
- If consent is declined or later withdrawn, mark the number as not eligible for SMS messaging.
5. Opt-out and help
STOP
Stop service-related SMS to that number after the opt-out is processed. A new affirmative opt-in is required before resuming messages.
HELP
Provide assistance through XCold’s normal dispatch or customer-service channel.
